Know which access you need

Client management access lets you maintain client information. Delivery and portal actions have their own access requirements. Viewing a client does not necessarily let you change their services or share work with them.

Open or add a client

  1. Open Clients. Search the company name and check All clients before creating a new record.
  2. Select the company to open its record, or choose Add client when it does not exist.
  3. Review contact information, status, and owner. Use Edit client to correct details you are authorized to change.
  4. Use the client’s sections to review contacts, delivery, and activity. Add the next task or note in the relevant section.
  5. Reopen the record after saving and verify the company, owner, and related work.

Start delivery from a reviewed plan

The client’s delivery area brings services, contracts, onboarding, and tasks together. If your agency has saved a service template, choose Review setup and check its scope, start date, draft contract, checklist, and starting tasks before Confirm reviewed setup.

Templates help reuse a plan. Review the saved version for this client rather than assuming its scope or commercial terms match every engagement.

Link a QuickBooks customer

When QuickBooks customer review is available, you can link an existing accounting customer from the client’s Delivery → Billing section. You need client management and Finance access, a working QuickBooks connection you own or that is explicitly shared with you as an active workspace Owner, and loaded customer information.

  1. Open the correct client and select Delivery. In Billing, select Refresh accounting and check the QuickBooks account.
  2. Select Link QuickBooks customer. Review the account and client shown, then choose the customer you have checked in QuickBooks.
  3. Confirm that you have checked the match and select Link customer.
  4. Refresh accounting and verify the saved relationship and available invoices and payments.

A connected assistant with viewing and editing access to both Clients and Finance & accounting can link an existing client to an existing accounting customer. Your current workspace and accounting access still apply. Have it show the exact accounting company, client, and customer before you approve the match.

Linking can make that customer’s invoices available through the client’s existing portal access. It does not create or edit a provider customer, invoice, payment, or billing schedule. The assistant cannot replace a different existing mapping or unlink it; review those changes in the workspace.

  1. Ask the assistant to read the existing client and the customers in the intended accounting company.
  2. Review the exact match and approve linking those records.
  3. After it saves the link, check the client’s Delivery → Billing section and confirm the matching customer and invoices.

Matching names or emails do not link records automatically. Customers already linked to another client cannot be selected. Missing or duplicate customer names need distinct names in QuickBooks before you refresh accounting and review them again. If a customer is missing from a limited list, check the accounting account and refresh.

If an existing link needs verification, refresh accounting and use Verify customer link when offered. If the account is unavailable, restore its connection first. If the link or your access changes while the review window is open, close it and refresh before continuing.

Use Unlink customer only after reviewing the current relationship. This removes the client’s connection to those invoices and payments in agencyos, including shared invoice access in the client portal. The customer, invoices, and payments in QuickBooks stay unchanged.

When information is missing

Clear the directory’s search and status filters. Confirm you are in the correct company and have access to that client. Missing accounting information may mean the client is not linked to a customer in the connected accounting account.

If a service setup fails, inspect existing services, contracts, and tasks before repeating it. A billing schedule records agreed dates; it does not by itself prove that an invoice was sent or a payment collected.
