Take a new lead through to a quote
Capture the conversation, plan the follow-up, and prepare a reviewed offer for delivery.
8 min readStart with the conversation
You need sales and quote editing access, the prospect’s contact details, and a reviewed scope and price. No connected ad account or mailbox is needed to prepare a draft.
Use your company and prospect’s details throughout this walkthrough. Screenshots use sample data to illustrate the controls. This walkthrough ends at a saved quote; you decide separately when to share it.
1. Capture the opportunity
- Open Sales pipeline and search for the prospect before adding another record. Check closed opportunities and spelling if the company seems to be missing.
- Select Add opportunity. Enter Company, Contact, Email, Service interest, and useful Notes. Choose the current Stage and an active Owner.
- Set a realistic Next follow-up. Enter estimated pricing only when you have enough information; an estimate is not an agreed offer.
- Select Add opportunity, reopen the company, and check Contact and context. Confirm that one correct opportunity was saved.
- Search for the company first.
- Use Add opportunity for a new conversation.
- Filter by stage, owner, or follow-up when checking existing work.
2. Give the next step an owner
In the opportunity, use Task under Next steps to record a specific action, such as “Review [Client name]’s requirements.” Add an owner and due date. Use Note in Opportunity activity for the conversation summary.
Check the saved task and note before moving on. If a save result is uncertain, look for the existing record before retrying.
3. Prepare the quote
- Open Quotes and select New quote. Choose Opportunity and use Find an existing record to select the prospect.
- Review Company / legal name, Contact name, and Email. The opportunity lookup includes up to 100 records in New lead, Proposal, or Negotiation. If the prospect is missing, check its stage in Sales pipeline. For an existing customer, choose Existing client instead. You can enter recipient details manually, but do not assume that creates the opportunity relationship.
- In Services & pricing, choose Standard quote or Phased project, then select Add service to open saved, available QuickBooks or custom services. Review scope, quantities, prices and billing frequencies. For a phased project, complete the delivery phases, payments and any ongoing-service terms before continuing.
- Complete Terms & agreements using approved commercial terms and the intended agreement versions. Review the Preview and resolve the listed readiness items.
- Select Save & continue to delivery. Reopen the saved quote and confirm the recipient, services, amounts, and terms.
4. Check the result before delivery
Activate & copy approval link and Email quote are separate delivery actions. Use them only when the recipient and offer are approved. A saved draft, an active link, a sent email, and an accepted quote are different outcomes.
When the deal is ready to become a client, selecting Won opens a conversion review. Choose a new or existing client and review before Convert to client. Conversion does not automatically create services, contracts, onboarding, invoices, or connected accounts.
If the offer changes after sharing
For an eligible unanswered quote, use Edit quote to prepare changes privately. Review the services, optional items, prices, terms, and agreements, then select Save changes. The customer continues to see the published offer until you deliberately select Publish changes.
Publishing updates the existing quote link without sending an email. Check the published version and access state afterward; a revoked link stays revoked. The customer may accept the published offer while you are editing, so refresh the latest status before publishing. Accepted quotes stay locked and use the available amendment workflow for later agreed changes.
If something gets in the way
- Missing Add opportunity or editing controls: ask an owner to confirm your access to sales and quotes.
- Duplicate company names: compare the contact and existing notes before choosing a record.
- Changed draft: preserve your local changes and reload the saved version before reconciling edits.
- Uncertain email result: inspect the quote’s delivery history before another attempt. Do not assume a provider accepted message reached the inbox.
