Connect your AI assistant
Copy the setup prompt, approve the intended access, and verify your connection.
5 min readBefore you start
An active owner or admin can manage their own AI connections. Confirm the company you want to use. If AI connections are unavailable, ask your company admin to check availability before starting again.
Keep any existing working connections in place. For a new assistant, start a separate connection rather than reusing another assistant’s access. If this same setup was already approved or interrupted, check its status before starting another request.
Connect and verify
- Open Settings → AI connections and select Connect an agent.
- Choose ChatGPT, Claude, Hermes, OpenClaw, or Other and confirm the company.
- Select Copy setup prompt and paste it into your assistant. This requests one setup attempt, so the assistant can present the approval link without asking you to confirm the same request again in chat. It first checks its own existing access or unfinished approval for this company; do not reuse another assistant’s connection.
- For an assistant running on another computer, use its approval link on your own Mac, phone, or other device. When it gives you a connection code, enter that code in AgencyOS and confirm it matches. You do not need to open the assistant’s remote computer. Only continue with a connection you requested.
- If new approval is needed, check the company and app name, review Exclude, View, or View and edit for each area, and choose the duration. Review separate report sharing/sending and invoice sending/voiding permissions when offered. Existing connections do not automatically receive new permissions.
- For Ads or Reports access, choose the exact advertising accounts you intend to share. Check the provider, account name and account ID in the final review.
- Approve only the access you intend to grant. Return to the same assistant session to finish connecting and ask it to perform the read-only company check.
- For a new authorization, return to the wizard, select Check connection and identify the connection you just approved. If this assistant reused its own valid connection, review it in Settings and ask the assistant to verify company access. A similar name or an existing connection alone does not prove ownership or successful access.
Move an accepted lead into client work
When a lead is ready to become a client, ask your assistant to convert the lead, rather than create an unrelated client profile and then change the stage. Conversion requires viewing and editing access to Sales, Clients, Tasks, Delivery, and Dashboard because it also carries eligible existing work into the client history.
If the client already exists, tell the assistant to verify and link that client. The conversion marks the lead Won and records its client relationship without creating a duplicate. The assistant can then link the lead’s email thread to the same client. Conversion does not send messages, create invoices, or change payment schedules.
If AgencyOS says conversion is required, your connection may still be working: the lead is missing its client relationship. If protected linked records require the workspace workflow, complete the conversion from Sales pipeline, then have the assistant read the saved lead again. Reconnecting does not resolve these workflow requirements.
Know what the result means
Access approved means you approved the request. Authenticated connection verified means an authenticated connection check succeeded at the displayed time. It does not certify every business action or every assistant version.
agencyos cannot see your assistant’s pending sign-in. If several connections look similar, confirm the right one rather than guessing. Recheck after switching companies or reopening setup.
A successful first check does not prove that access will renew automatically later. Ask the assistant to distinguish current company access from verified automatic renewal; if renewal evidence is unavailable, it should report renewal as unverified. Connection setup does not authorize business actions or changes to your existing schedules.
If you get stuck
If the assistant asked for viewing only, the approval page cannot add editing that was never requested. Return to the assistant to request the access your work needs. Do not expand access just to clear an unrelated error.
Never paste passwords, keys, or sign-in codes into the assistant. For a connection problem, use Connection help and Copy support summary. The assistant may renew access within an existing valid approval using its supported connection handling. If authorization is expired, revoked or invalid and cannot be resumed, it should explain the problem and ask before replacing it. Checking status does not reconnect or approve access automatically.
