When quote numbering is available in Settings → Quotes & agreements, an owner or admin with settings access can choose the beginning of future quote numbers. Other roles may have viewing access only.
- Open Settings → Quotes & agreements and find Quote numbers. Check the saved format before changing it.
- Enter a Quote prefix using 1–32 English letters, digits, hyphens, or underscores. Spaces are not allowed. Letter case and leading zeros stay as entered.
- Check Next quote preview, then select Save prefix. Confirm the success message, then reopen the settings and check the saved prefix.
Understand how numbers are assigned
The number is added directly after your prefix. For example, an unused prefix STUDIO- can produce STUDIO-1; an unused prefix 01201 can produce 012011. Include a hyphen yourself if you want that separator.
The preview does not reserve a number. The final number is assigned when the quote is created, so it can differ if another quote is created first. Reusing a previous prefix continues its allocation history; numbers are not promised to be gap-free.
Existing quotes keep their numbers, including when you edit a revision. Restore default changes future quote numbers only. This setting does not change QuickBooks invoice numbering.
If your prefix does not save
If the settings changed in another session, use Reload saved settings before saving again. If only the preview failed, use Retry preview. Confirm a successful save, then reopen settings to check the stored prefix.
